Case Study - Congress “Daily

Scheduling daily meetings or requesting feedback through email are inefficient and lack the immediacy required to get the highest quality insight during live events. Medical affairs teams need a new way to share and discuss rich, in-person interactions while still onsite – in a way that allows these learnings to be collected and interpreted in the moment.


A medical affairs team at a global pharmaceutical company used Within3’s virtual engagement platform to capture actionable insights onsite, extending the impact of an annual medical congress.

When the medical affairs team attended an annual congress, goals included:

  1. Access current scientific data and relevant trends, and record insights in real-time
  2. Collect information from one-on-one meetings with key opinion leaders (KOLs)
  3. Enable field staff and managers to discuss insights and request more information


The medical affairs team opted for a daily virtual huddle based on the Within3 online discussion platform. The huddle was available 24/7 to capture the attendees’ impressions, record engaged conversations about meetings and events, and provide a way to share everything with colleagues and leadership.

Daily questions were based on participation in specific meetings. For each session or topic, there were seven primary questions ranging from key takeaways to requests to upload photos or notes. Virtual huddle questions were addressed by team members on any device at their daily convenience, eliminating the need for an extra meeting during each day’s busy schedule.

The daily huddle approach was a success, with participants able to contribute from any device, at any time. The daily cadence enhanced feedback and insights with “fresh recall” and supported timely responses and calls to action.

  2. Provided actionable next steps for strategic and tactical initiatives
  3. Yielded a scalable format for conducting onsite feedback during future key events
